My Tech Stack

Here’s a rundown of all the tech I use to run my business. Some are tools I rely on daily, while others just make sharing with my clients a little bit easier! Now, please bear in mind - that just because it suits me - it doesn’t mean you will get on with it. Our brains all have a preferred way of processing information, so if you don’t like the look of something I recommend, leave it and move on to something more suitable. Don’t force it.

    Notion

    Project & Workflow Management. Notion is a dream to collaborate on projects, create shared workspaces with clients and track tasks. It’s also an amazing database tool and you can even create personal portfolios to share what you’re about - like a halfway house on your way to building a website. I love it!

  • Squarespace logo

    Squarespace

    Website builder. I have used pretty much all the website builders out there and I always come back to Squarespace. I love tools that make life as a business owner easier, and this is such an easy, intuitive way to build a beautiful site for yourself, from scratch or with a pretty template.

  • Mailerlite logo

    Mailerlite

    Create and send emails and newsletters. I’ve seen and used a few different tools when working with clients, and I truly believe that Mailerlite is the best out there for business newbies - it’s free to start which makes it perfect for new business owners. Give it a go!

  • Calendly logo

    Calendly

    Calendar booking system. Calendly is the only booking tool I have ever used for myself. I’ve used others for Clients work, but I love the ease of Calendly and the fact it’s free if you just need one booking link - again, making it perfect for new business owners and anyone needing a simple system for one event type!

  • Loom logo

    Loom

    Client Communication. I looooove loom so much! It’s an easy to use tool to record your screen - it really helps me to communicate clearly with clients as I can send them updates on a project and they can review and leave time-stamped comments on the progress. You can also use loom to record workshops!

  • Canva logo

    Canva

    Design & Branding. I mean, who doens’t love Canva. Gone are the days of having to spend ££££ on a marketing studio to create cute branded graphics for your campaigns. It’s a great tool to get your mission out there, to connect and educate your audience, and to find those ideal clients (when you stay aligned with your values and brand vision!)

  • Wise stamp logo

    Wise Stamp

    Email signature design & branding. I used to try embedding an image I created in Canva into my email signature, but I found that there were a lot of buggy gremlins when people opened my emails in another browser, so I decided to use wise stamp and I am so pleased - you can even add your mailing list opt-in link.

  • Signaturely logo

    Signaturely

    Electronic document review and signature. I’ve tried and tested so many e-signature tools, and signaturely suits me really well PLUS - it’s free if you only need to get 3 signatures per month! Perfect for getting client agreements signed - just upload your doc and mark where it needs signing - then send!

  • Indy logo

    Indy

    Invoicing, Contracts and more! I don’t use all of the features, and I have recently downgraded from pro to the free version, but I highly recommend Indy. It’s a fab little hub for freelancers. You can track your projects, send invoiced and get contracts signed all from here. It’s still in beta, but I think it’s gonna be big!

    Google Workspace

    Google is so much more than a search engine. IYKYK. Google is an amazing tool for anyone, but especially business owners for so many reasons, but I’m limited on space, so I’ll just say this - the fact that you can share docs, spreadsheets, slides, forms and folders with specific people so easily is *chefs kiss*

    Dashlane

    Secure password sharing (and secure notes). Everyone should get themselves a Dashlane account in my opinion. As a VA, I have soooo many clients log in details for different accounts, and it’s a top priority of mine to keep them safe and secure! I have tried others, but think this is the best by far!

  • Figma logo

    Figma

    Advanced design and seamless collaboration. This is an amazing design tool for creating user interfaces, prototypes, and marketing materials. It offers real-time collaboration, making it ideal for me to work with clients on design projects. It is incredibly cute and has fun stickers and a little record player!

  • We Transfer logo

    We Transfer

    Quick and simple online transfers. A fab file-sharing platform that allows me to send large files quickly and easily. It’s simple to use, requiring no sign-up, and is ideal for sharing high-quality images, videos, and documents with others. Don’t send massive files by email - just transfer them!

  • Otter.ai logo

    Otter.ai

    Audio transcriptions. I use this to transcribe audio and help extract key highlights, and while it’s not perfect (especially with certain accents), it does a solid job overall. It’s a decent tool that saves me time, allowing me to quickly summarise content from meetings and podcasts.

  • ChatGPT logo

    ChatGPT

    AI support. I know, I know - but don’t rule out a little help from AI. Honestly, I believe it can be a lifesaver when you're stuck in procrastination. You don’t have to use it for everything, but a bit of assistance can go a long way when you're feeling stuck. (Don’t just blindly take what it spits out - review and inject your own personality into it!)

  • Stripe logo

    Stripe

    Online payments. I don’t use it much at the mo because I don’t have any digital products for sale, but it’s great for payment processing, and it’s really smooth to set up and use. It’s simple, reliable, and integrates easily with my business systems. While fees can add up over time, it’s worth it for the ease and security it provides.
